Our Implementation Process

    Survey & Verification

    Encartele will begin with a comprehensive onsite survey and verification process at each facility. This step ensures accurate mapping of the physical environment, including power, cabling, and network capabilities. Facility staff will be engaged to confirm installation zones and any site-specific restrictions or requirements.

    • Conducts walkthroughs with facility leadership to validate installation paths and security-sensitive areas
    • Documents all infrastructure conditions to prevent installation delays or unexpected modifications.
    • Establishes a communication channel with key facility contacts for ongoing coordination.

    Provisioning

    Based on the survey findings, Encartele will prepare all necessary system configurations for all Cidnet equipment at the main HQ office. Our Operations Team conducts a site survey form that gathers all pertinent data related to installation locations and facility details.

    • Pre-configures devices, software settings, and network assignments to expedite on-site deployment.
    • Completes quality checks ensuring each device is ready for installation upon arrival.
    • Coordinates internally across engineering, logistics, and support teams to align project expectations.

    Network Procurement

    Encartele will coordinate with the facility and its network stakeholders to provision necessary bandwidth and secure appropriate network routes. Encartele may leverage existing infrastructure where feasible or deploy secure LTE networks when required.

    • Works directly with county IT teams to validate firewall, routing, and bandwidth requirements.
    • Establishes secure VPN tunnels or private networking where applicable.
    • Conducts pre-deployment network load testing to ensure system stability.

    Parts Procurement

    All hardware—including calling units, video visitation kiosks, charging racks, and network gear—will be ordered and staged for installation. Encartele maintains supplier relationships that allow for rapid order fulfillment and equipment readiness

    • Confirms equipment counts and model types with facility leadership prior to ordering.
    • Stages hardware in secure inventory areas to streamline installation sequencing.
    • Performs incoming inspection and testing of all hardware before shipment.

    Cidnet Configuration

    The Cidnet platform will be configured to reflect the facility’s operational policies, security protocols, and scheduling needs. This includes user profiles, permissions, and facility-specific settings within the Cidnet Admin Portal.

    • Defines user roles and access levels to align with jail policies and supervision requirements.
    • Configures messaging filters, investigative tools, and app availability settings
    • Performs configuration audits to ensure accurate alignment with the facility’s operational model.

    Software Training

    Encartele will deliver training sessions for facility staff on the use of Cidnet’s administrative tools. Training includes user management, monitoring, scheduling, and reporting functions. Training is offered in person or remotely.

    • Provides scenario-based instruction for common workflows and operational tasks.
    • Supplies training manuals, video tutorials, and access to the Cidnet Wiki.
    • Ensures staff are fully credentialed and comfortable with all administrative functions prior to go-live.

    Shipping & Delivery

    Following training, all equipment will be carefully packaged and shipped to the facility. We coordinate directly with facility contacts to ensure secure delivery, proper inventory tracking, and confirmation of receipt prior to installation.

    • Maintains detailed shipping logs and tracking numbers for full logistical transparency.
    • Labels all boxes and devices according to their installation locations.
    • Performs pre-shipment verification to guarantee complete and accurate orders.

    Installation of Equipment

    Installation teams will deploy all hardware components as per the agreed schedule. Equipment will be installed with minimal disruption to daily operations and tested to confirm full integration with the Cidnet platform.

    • Coordinates installation windows around meal times, lockdowns, and staffing priorities.
    • Tests network connectivity, device functionality, and communication features in real time.
    • Provides daily progress updates to facility leadership throughout installation.

    Maintenance Schedule

    A preventive and corrective maintenance schedule will be provided post-installation. This includes periodic onsite visits, 24/7 remote monitoring, firmware updates, and response protocols for equipment issues. All maintenance is included at no additional cost throughout the contract term.

    • Offers rapid-response technician support for repairs, replacements, and troubleshooting.
    • Conducts scheduled health checks on network, devices, and system performance.
    • Maintains detailed maintenance logs and provides reports upon request.
